How to Build Your Ideal Customer Profile (ICP) for Outbound Sales

A step-by-step guide to defining your ideal customer profile for B2B outbound. Learn how to target the right companies and decision-makers.

By Takeoff GTM Team

Your ideal customer profile (ICP) is the foundation of effective outbound. Without a clear ICP, you'll waste credits, time, and domain reputation reaching people who were never going to buy.

What is an ICP?

An ideal customer profile defines the type of company most likely to buy your product, benefit from it, and stay as a customer. It includes firmographic traits (industry, size, location), technographic signals, and the roles of people involved in the buying decision.

Start with your best customers

Look at customers who closed quickly, had short sales cycles, and are still happy. What do they have in common?

  • Industry and sub-industry
  • Company size (employees or revenue)
  • Geography
  • Tech stack or tools they use
  • Business model (B2B SaaS, agency, enterprise, etc.)
  • The role of your champion and economic buyer

Define firmographic criteria

Be specific enough to filter, but not so narrow that your list is tiny. "Healthcare companies in the US with 10–100 employees" is actionable. "Companies that need our product" is not.

Company size matters

A 5-person startup and a 5,000-person enterprise have completely different buying processes. Your ICP should reflect where you've won before.

Industry and vertical focus

Vertical-specific messaging converts better than horizontal spray-and-pray. If you win in fintech, start there before expanding to adjacent verticals.

Identify the right people

Your ICP isn't just about companies — it's about who you email. Map the roles involved in your typical deal:

  1. Champion — feels the pain daily, advocates internally
  2. Decision maker — signs the contract
  3. Influencer — shapes the evaluation

For early-stage outbound, target the champion first. They're easier to reach and more likely to engage.

Add negative filters

Equally important: define who is NOT a fit. Competitors, companies too small to afford you, industries with regulatory blockers, or orgs without the problem you solve. Negative filters save your team from bad-fit conversations.

Test and refine your ICP

Your first ICP is a hypothesis. Run small campaigns, measure reply and meeting rates by segment, and double down on what works. ICP refinement is ongoing — markets change, your product evolves, and new patterns emerge from closed deals.

With Takeoff GTM, you can describe your ICP in plain English, build targeted prospect lists, and launch campaigns — all from one workspace. Less guessing, more selling.
